I am currently recruiting on behalf of a growing and fast-paced transport and logistics business based in Folkestone for an experienced and proactive Operations Assistant.
This is a fantastic opportunity for someone with a background in transport, freight, or logistics administration who is confident working in a dynamic environment and comfortable managing multiple priorities. The successful candidate will play a key role in supporting operations, freight movements, customer communication, and compliance activities to ensure smooth and efficient service delivery.
The Role
As Operations Assistant, you will support the Operations and Transport teams with the coordination of European freight movements. You will be responsible for managing bookings, completing required documentation, and ensuring all customs and compliance requirements are met to avoid delays.
The role will also involve supporting the team with last-minute requests and providing occasional out-of-hours assistance on a rota basis.
Key Responsibilities
- Liaising with customers and providing timely updates and support
- Supporting the planning of truck movements and operational scheduling
- Booking ferry crossings and ensuring all relevant documentation is accurately completed
- Completing GMRs, ENS declarations, Portbase and PBN entries to ensure smooth customs clearance
- Updating and managing jobs within the Transport Management System, including collection and delivery details, references and load information
- Ensuring pricing is accurately quoted and recorded in shared systems and spreadsheets
- Managing urgent or last-minute changes to transport requirements
- Assisting drivers with route queries and resolving loading or delivery issues
- Liaising with ferry and Eurotunnel account managers to secure competitive freight rates
- Reviewing ferry and Eurotunnel invoices and monitoring missing cost reports
- Raising and processing authorised purchase orders
- Supporting compliance tasks as required
- Providing general operational and administrative support to the wider team
About You
- Previous experience within transport, logistics, freight forwarding or haulage administration
- Knowledge of UK and EU customs processes including GMR, ENS, Portbase and PBN is highly desirable
- Strong organisational skills with the ability to manage multiple tasks
- Confident communicator with experience dealing directly with customers and drivers
- Good working knowledge of Excel and spreadsheet systems
- Experience using a Transport Management System is beneficial
- Flexible approach and willingness to support out-of-hours on a rota basis
